Buyer enquiry process

How sourcing
works.

What to share, what AgriNexa will clarify, and what should be agreed before an order proceeds.

BRIEF→SOURCE→AGREE

Start with the brief

Start with the buyer’s
requirements.

Products can be described differently from one market to another. We first get specific about what the buyer needs, what the supplier can offer, and which details must be agreed before a commercial commitment.

From first enquiry to shipment planning

Five steps for
each enquiry.

01
LISTEN & DEFINE

We understand the requirement.

We begin with a conversation about the product, its intended use, the target grade, quantity, destination and timing. If you have a specification sheet, we’ll use it as the reference point.

  • Product and botanical or commercial name
  • Target grade, quality requirements or sample reference
  • Approximate order quantity and destination
02
EXPLORE LOCAL SUPPLY

We look for a suitable source.

We discuss the brief through our local network of farmers, harvesters and suppliers. This stage helps identify whether the product and requested specification appear to fit an available sourcing opportunity.

  • Check product and grade alignment
  • Discuss indicative availability and timing
  • Flag open questions before progressing
03
ALIGN THE SPECIFICATION

We make quality expectations clear.

Before a quote is treated as an offer, both sides need to understand what is being discussed. We work through relevant product details such as grade, appearance or condition, cleaning or processing, packaging and any inspection or sample requirements.

  • Confirm local grade names against the buyer’s requirement
  • Agree product description and acceptance criteria
  • Discuss samples or inspection where available and appropriate
04
QUOTE & AGREE

We put the commercial details on the table.

Once the product scope is understood, we prepare or discuss a quotation for the specific enquiry. Price, validity, quantity, packaging, payment terms, delivery basis and lead time should be confirmed in writing before an order proceeds.

  • Quotation tied to a clear product and grade
  • Commercial and payment terms discussed directly
  • Written agreement before order commitment
05
PREPARE & COORDINATE

We align the order for delivery.

For agreed orders, we coordinate the practical details around preparation and delivery. Packaging, marks, export documentation, inspection and logistics are handled according to the agreed order scope and destination requirements.

  • Confirm packing and shipment details
  • Coordinate required trade and export documents
  • Keep buyer and supplier aligned as the order progresses

Availability, specifications, samples, documentation and logistics depend on the product, season, supplier and destination. We confirm the applicable details with each buyer rather than assume a one-size-fits-all arrangement.

Agree quality details early

Define what
quality means.

“High quality” only becomes useful when both sides agree what it means for the product and end use. We encourage buyers to share written specifications or reference samples as early as possible.

01

Identity & origin

Product, variety or resin type and origin information relevant to the order.

02

Grade & condition

The grade name plus the physical characteristics and acceptance criteria that matter to the buyer.

03

Handling & packing

04
